Office Level Entry Assistant

We are looking for a level entry Office Assistant to help with the organization and running of the daily operations of the company. The ideal candidate will be detail oriented professional able to undertake a variety of office support tasks under direct supervision. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.

This is a part time EVENING position with about 10-15 hrs/ week (some weekend days may be required).

Start Work Shift Time is 6pm

Responsibilities include, but not limited to:

  • Organizing office and assist associates in ways that optimize procedures

  • Sort and distribute and file communications in a timely manner

  • Create and update records ensuring accuracy and validity of information

  • Monitor level of supplies and handle shortages

  • Answer phone lines and receive messages

  • Monitor incoming emails and answer or forward as required

  • Fax, scan and copy documents

  • Maintain office filing and storage systems

  • Update and maintain databases such as mailing lists, contact lists and client information

  • Retrieve information when requested

  • Update and maintain internal staff contact lists

  • Co-ordinate and maintain staff administrative records such as staff parking, staff phones and company credit cards

  • Create and Type documents, reports and correspondence

  • Organize travel arrangements for staff

  • Monitor and maintain office supplies

  • Keep office area clean and tidy


  • High School Diploma or equivalent (Bachelor's degree preferred)

  • Business college training is an advantage

  • Experience as an office assistant not required, but recommended

  • Working knowledge of office computer equipment

  • Excellent organizational and time management skills

  • Analytical abilities and aptitude in problem-solving

  • Excellent written and verbal communication skills

  • Proficiency in MS Office or equivalent

  • Internet skills including use of e-mails, group messaging and data collection

  • Numeracy and literacy skills

  • Minimum typing speed of 50 wpm

  • Must be willing to work weekends
